Incoming PTA Unit Officers
(if you are reporting for a Council Exec Board, click here)

To ensure that you will receive your Summer Mailing from State PTA, please send your Unit's information to Sixth District by the May 3 deadline.

To begin, you will

1

open a spreadsheet inside your browser (Internet Explorer, Firefox, etc.),

SAVE this spreadsheet on your own computer,

3

click the "Back" button in your browser, to return to this Instructions page,
4 and finally reopen the saved file in your spreadsheet program.

Please make a note of these steps, because you won't be able to see the instructions while the spreadsheet is on your screen.

CAUTION: please DON'T try to fill in the spreadsheet "online" (inside your Browser). The data won't be saved or sent correctly!

To open a spreadsheet inside your browser, please select your Council. If your Unit is not in a Council, click "(Out-of-Council)".

Fill in your PTA's name and STATE (not National) Unit Number. You'll find the Unit Number in your bylaws.
The numbers should be eight digits long. Please use leading zeroes to make them into 8-digit numbers.

Fill in names and contact information for your INCOMING AND CONTINUING officers and chairpersons.

The spreadsheet may be wider than your screen. Don't miss any fields
that are off-screen to the right (including ZIP Code).

Please use Initial Capitals, NOT ALL CAPITALS.

If a position is vacant, just leave it blank.

t

Under "Position" (column 1), if an officer or chair is a student,
please write "stu" after the name of the position, e.g. "President stu".

t

If you have additional officers and chairpersons, please add rows to the spreadsheet.

t

If you haven't yet had your elections, please fill in names and contact
info for the nominated slate; you can make changes later, as needed.

Fields shown in blue are instructions, headings, or samples  


Fields shown in orange are required.
 
t Every unit has a name and a State unit number.

Every unit has to have a President, a Secretary, a Treasurer, & a Membership Chair.

t

Sixth District needs to know the name of your Unit, and how to contact the President, Treasurer, & Membership Chair!
We've put some additional titles in the spreadsheet. Those are just samples; please change them as appropriate for your unit. One specific question: some units have an Executive VP, some have a First VP, and some just have a VP. Some have more than one of these. We need to know the exact titles that your unit uses. Thanks for your help with this!

Attach your filled-in spreadsheet, write any message you'd like to include, and click Send.
